Show that you know what this means for them, before you say anything else. You are about to say something they do not want to hear. Opening with their side of it is what makes the rest sound like a decision rather than a dismissal. For example: “I know you were counting on me for Saturday, and I am sorry to change it.” Name only what the question actually tells you. Inventing a feeling they never mentioned is worse than naming none.
